What a Canada invoice must include

  • Your business name and address
  • Your GST/HST registration number (if registered)

  • The total amount payable

Tips for invoicing in Canada

  • Show each tax on its own line (GST, then PST/QST). Lumping them together confuses clients and accountants alike.
  • Small suppliers under $30,000 don't charge GST/HST — but say 'GST/HST not charged — small supplier' so clients don't ask.
  • Keep invoices for 6 years from the end of the tax year. The CRA expects records to support every input tax credit.
  • Bill in CAD for Canadian clients; if you invoice in USD, note the exchange rate used for the tax calculation.

Do I need to charge GST/HST as a freelancer?

If your worldwide taxable revenues exceed $30,000 over four consecutive quarters, registration is mandatory. Below that it's voluntary — but many freelancers register early to claim input tax credits.

Which tax rate do I charge an out-of-province client?

Generally the rate of the client's province (place of supply rules). An Ontario freelancer billing a BC client charges 5% GST, not 13% HST.

What about Quebec?

Quebec administers its own QST (9.975%) on top of GST. If you do significant business there, register with Revenu Québec too.
