Free Invoice Generator for United Kingdom
If you're VAT-registered in the UK, your invoices have to meet HMRC's VAT invoice rules — get the fields wrong and clients can reject the invoice or HMRC can disallow your VAT claims. The good news: the rules are a fixed checklist, and Billia's tax field handles the math.
What a United Kingdom invoice must include
- A unique, sequential invoice number
- Your business name and address
- Your VAT registration number
- The invoice date and the tax point (supply date)
- Your customer's name and address
- A description of the goods or services supplied
- For each line: unit price excluding VAT, quantity, and VAT rate
- Total excluding VAT, total VAT charged, and total including VAT
Tax note: VAT at 20% (standard rate). Tax rules change — confirm anything unusual with your accountant.
Tips for invoicing in United Kingdom
- Use the notes field for your VAT number if it doesn't fit elsewhere — but it must appear on every VAT invoice.
- Sole traders: include your own name plus any trading name, and an address where legal documents can be served.
- Limited companies must show the registered company number and registered office address.
- Keep copies of every VAT invoice for at least 6 years — HMRC can ask to see them.

Do I need to charge VAT as a UK freelancer?
Only if you're VAT-registered. Registration becomes mandatory when your taxable turnover passes £90,000 in 12 months (or is expected to). Below that you can register voluntarily — some freelancers do so to reclaim VAT on expenses.
What is a simplified VAT invoice?
For sales under £250 including VAT, you can issue a simplified invoice with fewer fields: supplier name, address and VAT number, date, description, VAT rate, and VAT-inclusive total. Over £250 needs a full VAT invoice.
Can I invoice in a foreign currency?
Yes, but a VAT invoice must also show the VAT amount in sterling, and the total VAT charged expressed in GBP.
